ABSTRACT

The study examines the effect of financial incentives on staff productivity in Niyya foods Kaduna. The research question that guided the study were: Is Niyya Food remuneration based on incentive scheme? What kind of financial incentive does Niyya Food give to its works and what are the effect on what workers? What kind of non financial incentives does Niyya Food use to boost workers productivity? What are the constraints militating against Niyya Food incentive schemes and how can it be overcome?A survey method was used for this study. The population  consisted of all Staff of Niyya Food Kaduna. Out of 158 persons, a  sample size of 70 was drawn from the total population using the stratified random sampling technique. A questionnaire developed by the researcher based on likert 5-point scale was used for the study. Mean scores was used to analyse the data based on the research questions. The research result shows that Niyya Food incentive scheme does not enhance  workers performance because, it does not take into cognizance in it remuneration and do  not even evaluate or appraisal workers  performance.It was recommended thatOther non financial incentives like lectures, seminar, symposium as well as Recreational facilities, such as club with sporting facilities, entry bar and other recreational facility that would help staff unwind after work should be designed and adopted. This will facilitate efficiency and increase productivity in Niyya Food.

 

 

 

 

 

 

 

 

 


CHAPTER ONE

INTRODUCTION

1.1Background to the Study

All organizations are concerned with what should be done to achieve high level of productivity through staff motivation using the right kind of incentive. Most organizations in the past have been using financial incentives but their workers are still agitating for increment in salaries. Consequently the effect of non financial incentive becomes a burning issue in human resource management(Okoh,2008).

The issue of adequate motivation and consequently workers productivity is aproduct of a person’s set up of needs, goals, drive and experience. Byimplication, this means that factors which govern motivation, job satisfaction,workers productivity and attitude to work differ from one society to another.

However, the entire issue of the implication of adequate motivation on workersproductivity is embedded in the various theories of motivation.

People are motivated by various factors at different times, according to

Wilkinson et al, the first factor is the combination of the individual perceptionsof the expectations other people have of them, and their own expectations ofthemselves. This happens because people come into work situations withvarious expectations.

 

People work together in large organisations like bank, factory where they are expectedto follow orders, which they may not approve of. In addition, they may have to obeyinstruction from supervisors they had no hand in selecting. This is the type of situationwhere the worker might have no opportunity for self-expression. The basic question thatnow arises, relates to how to create a situation in which workers can satisfy theirindividual needs while working towards organisational goals. How can workers incorporate organisation in Nigeriawho’s workers feel that their salaries are lowwhen compared with their contemporaries in other organisation?

 

As such a lot of theoretical concept, principles and techniques of management have evolved in response to these challenges/ but most scholars suggest that more conceptual and empirical work is required to show the link between financial and non financial incentive and staff productivity is still vague but some studies have documented in their work that financial incentive is readily perceived as having a high instrumental value that makes putting forth extra effort worthwhile and its has a long term effect in terms of labour turnover rate because of comparative value for alternative employment while non financial incentive has less initial impact as the pragmatics of financial gain, they seem to have a steady, sustainable impact(Egbe,2008).

Despite the growing body of literature and empirical study on the effect of  non financial incentive on workers productivity, the subject matter still remains complex. Hence, the need to undertake a survey on the effect of   non monetary incentives on staff productivity in Niyya food and drinks company Ltd Kaduna.

 

1.2 Statement of the Problem

Most organizations in Nigeria are constraint with the problem of using non performance based element like salaries to compensate it staff as against performance-related pay structure which has hamper productivity because it does not make worker put in extra effort in their work. This is so because their compensation is not based on incentive schemes that elicit additional effort of workers sequel to unfriendly government legislation on wages clause and bureaucratic inefficiency. Hence the need for the research to examine the effect of  non monetary incentive on employee productivity in Niyya Food and drinks Ltd Kaduna.

 

 

1.3     Objectives of the Study

The main objective of this study is to examine the effect of non monetary incentive on staff of Niyya food and drinksKaduna. Other Specificobjectives are to:

  1. Assess whether staff remuneration is based on incentive schemes that motivate them.
  2. Examine all financial incentives given to staff and their effect on worker productivity.
  3. Identify non financial incentives used in boosting staff productivity.
  4. Evaluate out the constraints militating against incentive schemeNiyya Food and drinks and make recommendations to the identified problems.

 

1.4     Significance of the Study

This study brings to light the effect of non monetary incentives on staff performance in organization. The study may therefore be beneficial to the organization understudy in area of policy formulations as regard staff incentive schemes and remuneration.

To education, the study may contribute to already existing knowledge on the effect of financial and non financial incentives on workers’ performance.

Finally, to those in academics and human resource researches, the study may serve as a springboard for further investigations.

  2. What kind of financial incentive do Niyya food and drinks give to its workers and what are their effect on workers productivity?

  4. What are the constraints militating against Niyya Food and drinks incentive scheme and how can these constraints be overcome?

 

1.6     Scope of the Study

The study covers an empirical investigation of the effect of  non monetary motivation on staff productivity in Niyya Food and drinks. The main scope and time frame for this investigation covers Niyya Food and drinks incentive schemes from 2006-2011.

Financial Incentives: Monetary reward or compensation use to motivate workers.    

Non Financial Incentives: Other incentives apart from monetary rewards.

Performance Incentive: Rewards that motivates worker to put in more efforts.

Productivity: The rate at which employee work and their yield in their organization.

Adequate Motivation: These are factors (familiarity, concern and driving

force), which exist or are provided in a work situation either physically or

psychologically which determine the input and productivity level of the worker.

Implication of Motivation: The term could be defined as the work dispositionof an employee, which affects the mode of doing his work.

Intimacy: Intimacy or Familiarity could be described as the feeling of warmthand friendliness based on interpersonal relationship among people.

Consideration: Consideration or Concern refers to a situation where both theircolleagues and managers treat staffs with understanding. In this case, there isboth a personal and human touch in dealing with workers,

Thrust: Thrust or driving force deals with leadership by example as a meansof motivating subordinates. Leadership in this context takes personal interest instaff while also displaying a high degree of professional competence anddynamic leadership qualities.

Morale: Moral refers to staff emotional and mental level of zeal.

Productivity: Productivity is the relationship between the amount of one ormore inputs and the amount of outputs from a clearly identified process.

Permanent Staff: Permanent staff refers to those experienced member of staffwho irrespective of their ages have been working for a minimum period of five years

Contract Staff: Members of staff who irrespective of their academic

accomplishments and status are  regarded as adhoc staff.

Management Staff: Management staff refers to those member of staff who

irrespective of their ages have attain grade level 6 and above.

Training: The process of increasing knowledge and skills of staffs in doing their job.

Development: The process of adding to the skills of workers, improving their general knowledge and altering their attitudes.

Productivity: A rate at which workers produce goods or services.

Human capital: Workers’ skills and abilities considered as resources to business.

Omotosho (1990) states that no business activity succeeds without an efficient office professional. The office professional copes with all demands and stresses of the office in the way that he enjoys leadership control of crisis that might emanate from managing records, people communication, information and other resources that are instinctively involved in making an office.

In most office today, two types of office professionals are recognized and these are the personal or private and confidential. For the purpose of updating the duties and responsibilities of office professionals, MTU in Madelyn and Urwin (1980( defined office professionals as one in charge of typesetting, recording and keeping vital or confidential document of an organization that some executives may not be allowed access to; while the private office professional is one who employed to assist a member of staff at top level by undertaking some of his routine work and ensuring the smooth running of the office.

Ceik and forti (2009) state that the duties of office professional in organization includes organizing, coordinating and implementing delicious for the day to day running of the organization. Jeffrey and Kevin, (2001) state that in this age of globalization, characterized by computer and other office technology, as well as sophisticated nature of office dealings, the duties and function of office professionals in achieving organizational goals cannot be over emphasized.

Njoku (2003) opines that the duties of office professionals vary and are often unspecified. However, the duties and function of office professionals and the expectations of an employer. These duties include taking down notes from the speech of the boss and producing a mail able copy out of it, performing reception duties involving public relations, clerical duties involving replying to correspondence, filling operations, records management, other unspecified function such as booking flights and accommodation, running specialized errands etc.

He adds that the functions of the office professionals are ever expanding rapidly. It is with this in mind that the research work is being carried out to identify the duties and responsibilities of office professionals in Kaduna polytechnic.

 

Statement of the Problem

The work environment is a determining factor to office professionals performance and productivity but this has not been achieved in modern day office as a result of the following problems such as inadequate of modern office equipments, poor human relations, physical environmental factors and poor remuneration of office professionals, all these factors contribute to low performance of office professionals. It is not uncommon to find some organizations still subjecting office professional to the use of manual typewriters. When office professional are not provided with efficient and effective working tools, productivity is definitely bound to be low.

It is equally agreed that some office professionals find it difficult to get along with their work as a result of un-conducive environment in the office. this brings about other tendencies among with include the inability to control staff under her or not giving proper attention to visitors in the office      .Overcrowding and of clean office or environment especially in the office professional’s office seriously have impacts in the productivity of the office professional

 

 

Purpose of the Study

The major purpose of this study was to examine the impact of work environment on the productivity of office professional. But in specific terms, the study was under taken to:

  1. find out the types of modern office machines require for office professionals productivity.
  2. determine the physical environmental factors that lead to the attainment of the organizational objectives
  3. to find out how adequate remuneration of office professional improve office productivity in an organization.
  4. to find out how human relation skills increase office professional productivity.

 

Research Questions

The following research questions and hypotheses were posed and formulated for the study:

  1.                                i.            What are the types of office equipment require for office professionals productivity
  2.                              ii.            What are the physical environmental factors that lead to the attainment of organizational objectives
  3.                           iii.            How does human relations skills influence office professional productivity in an organization
  4.                           iv.            How does remuneration influence office professional productivity in an organization.

 

Significance of the Study

The significance of this research can never be over emphasized. It is only conducted to identify, the importance of work environment on a office professions, the study will be of immense importance for the following:

Office Profession: Office professional as an individual who oversees the running of an organization, plan coordinate and oversees various organizational function which are performed by the other employee of the company.

 

Future References: To service as a source of information for future researchers who which to gather useful data pertaining to office profession.

Organizations: To educate the organizations so that they can provide conducive environment to secretaries work.

 

Scope of the Study

The study concentrated on the internal segments of the office profession in order to determine the level of influence it on the performance of the office profession. The scope of this study also cover executives and office profession.

 

Limitation of the Study

The researcher intended to provide as much material as possible with respect to the topic under study, but a lot of limitation prevented him from doing so. Time proved to be a major limitation in the conduct of this research topic. The problem was the combining of attendance of lecturers and sourcing for data to writ the project.

Financial constraints also posed a problem in the data collection during the course of survey research, as the research did not have enough money to make calls on the respondents for data/

1.1   BACK GROUND OF THE STUDY

It is known fact that the principal motive of management of any organization is to make individual and people contribute positively towards the activities which it consist. So as to achieve the mission and goal of the enterprise employee motivated.

Because of the differences in need patterns and their ever changing natures, the incentives that may be best for one group or an individual may not be effective for another of a particular time.

 

The use of motivational tool does not only involves the monetary aspect but also comprise non financial incentive such as transportation facilities accommodation facilities welfare services etc one need to explain the non-financial incentives aspiration the typical employer.

In the past years there has been a steady increase in most Nigerian industries, the crisis is as a result of a poor working condition, strigent rules, poor and delayed payment of workers wages and salaries.

 

Again the crises also results from the failure of the top management to appreciate to human element as the most crucial factor and the determinant of attainment of goals and objectives this result into frustration which manifest itself differently by individual or workers. It is view of this that this research intends to look at the effect of motivation on employee performance in an organization taking Breweries as a  case study.

 

1.3      OBJECTIVE OF THE STUDY

The objectives of the study includes:

  1. To determine whether personnel employee need to be motivated.
  2. to determine whether motivation is related to performance
  3. to determine whether promotion is motivating factor to performance.
  4. to determine whether personnel do perform optionally
  5. to determine whether workers do get adequate remuneration.

 

1.4      SIGNIFICANCE OF THE STUDY

The study is significant in that it would serve as a basic for future researcher who would like to carry out a research on a similar topic it would also give an impetus to policy makers on how best to improve motivation on employee performance in an organization especially the Nigerian Breweries Plc. Also the result of this study would give relatively good understanding on the effect of motivation on employee performance in an organization.

 

1.5      STATE,EMT OF HYPOTHESIS

Ho: Motivation has no effect on employee performance in Nigerian Breweries.

Hi: Motivation has effect on employee performance in Nigeria Breweries.

 

 

1.6      SCOPE OF THE STUDY

The study shall cover Nigeria Breweries Plc Kaduna. In relation to motivational tools been used to affect its employee to theories of motivational importance of motivation its impact on the Nigeria working environment.

 

 

1.7      LIMITATION OF STUDY

  1. Inaccessibility of sufficient research materials. The materials used for the research were not readily available and adequate enough for a comprehensive research as desired by the researcher must comment lent books and other relevant publication in libraries within and outside the school.
  2. Uncooperative attitude of respondent: These were some respondents that were not ready to answer vital information for the purpose of this research such valuable information was considered to be confidential and as well were not ready to release confidence secret to the organization.
  3. Low return rate of questionnaire: Some of the questionnaire distributed to respondents without properly filling as such that they were not used in analyzing the data.

INTRODUCTION

 

1.1   BACK GROUND OF THE STUDY

It is known fact that the principal motive of management of any organization is to make individual and people contribute positively towards the activities which it consist. So as to achieve the mission and goal of the enterprise employee motivated.

Because of the differences in need patterns and their ever changing natures, the incentives that may be best for one group or an individual may not be effective for another of a particular time.

 

The use of motivational tool does not only involves the monetary aspect but also comprise non financial incentive such as transportation facilities accommodation facilities welfare services etc one need to explain the non-financial incentives aspiration the typical employer.

 

It is usually the responsibility of the supervision to ensure that the employees feels that the up (the organization) came about their views and suggestion on work emplacement, income simplification and such other routine matter (Ibekwun 1984).

1.2      STATEMENT OF THE PROBLEM

In the past years there has been a steady increase in most Nigerian industries, the crisis is as a result of a poor working condition, strigent rules, poor and delayed payment of workers wages and salaries.

 

Again the crises also results from the failure of the top management to appreciate to human element as the most crucial factor and the determinant of attainment of goals and objectives this result into frustration which manifest itself differently by individual or workers. It is view of this that this research intends to look at the effect of motivation on employee performance in an organization taking Breweries as a  case study.

 

1.3      OBJECTIVE OF THE STUDY

The objectives of the study includes:

  1. To determine whether personnel employee need to be motivated.
  2. to determine whether motivation is related to performance
  3. to determine whether promotion is motivating factor to performance.
  4. to determine whether personnel do perform optionally
  5. to determine whether workers do get adequate remuneration.

 

1.4      SIGNIFICANCE OF THE STUDY

The study is significant in that it would serve as a basic for future researcher who would like to carry out a research on a similar topic it would also give an impetus to policy makers on how best to improve motivation on employee performance in an organization especially the Nigerian Breweries Plc. Also the result of this study would give relatively good understanding on the effect of motivation on employee performance in an organization.

 

1.5      STATE,EMT OF HYPOTHESIS

Ho: Motivation has no effect on employee performance in Nigerian Breweries.

Hi: Motivation has effect on employee performance in Nigeria Breweries.

 

 

1.6      SCOPE OF THE STUDY

The study shall cover Nigeria Breweries Plc Kaduna. In relation to motivational tools been used to affect its employee to theories of motivational importance of motivation its impact on the Nigeria working environment.

 

 

1.7      LIMITATION OF STUDY

  1. Inaccessibility of sufficient research materials. The materials used for the research were not readily available and adequate enough for a comprehensive research as desired by the researcher must comment lent books and other relevant publication in libraries within and outside the school.
  2. Uncooperative attitude of respondent: These were some respondents that were not ready to answer vital information for the purpose of this research such valuable information was considered to be confidential and as well were not ready to release confidence secret to the organization.
  3. Low return rate of questionnaire: Some of the questionnaire distributed to respondents without properly filling as such that they were not used in analyzing the data.
  4. Academic pressure: This is the frequent test in school assignment and always pay visit to library in the search of relevant materials lampered the researcher in writing a name comprehensive and better research work done.

CHAPTER ONE

INTRODUCTION

 

Background of the Study

Contemporary dictionary defines environment as all the surrounding condition, which influence growth and development. Environment can also be defined as the external and internal surrounding of an office as it affects a secretary. According to Rwuaan (2010), an office is a building where clerical work is done, where information is received, conveyed, recorded processed and safeguard. An office is generally a room or other area in which people work, but may also denote a position within an organization with specific duties attached to it (see office, office holder, official), the latter is an fact an earlier usage, office as place originally referring to the location of one’s duty.

An office is an architectural and design phenomenon and a social phenomenon, whether it is a small office such as a bench in the corner of a “mom and pop shop” of extremely small size (see small office home office) through entire floors of buildings up to and including massive building dedicated entirely to one company. In modern terms an office usually refers to the location where white-collar workers are employed.

Productivity has been generally defined as a ration of a measure of output to a measure of some or all of the resources used to produces these output. In this way, one or a number of input measures can be taken and compared with one or a number of output measure. When attempt is made to include all inputs and all output in a system, the measure is called a Total Productivity Measure (TPM) Palik (2006) explains in his what that the input used in a process can be hour of labour, unit of capital and qualities of raw materials compared with the consequent output.

History has it that the background of office professional dates back to the days when ancient office professionals who were then called secretaries worked under the primitive circle of office surroundings. Despite the fact that the importance of the early office professionals was realized when the need for keeping, retrieving and safeguarding confidential matters were needed. At that time, the duties and responsibilities of office professionals was of much importance in terms of job satisfaction the office profession. The duties and responsibilities of office professional involves providing services relating to processing, documenting and disseminating information, (Smith, 2008).

Today, the duties and responsibilities of office professional in organization are very important that no organization can survive without this class of workers. They are so important that the ill conceived idea of the federal Government to right size and down size these class of worker caused great set back in the discharge of office function which made it imperative for all affected office professional to be recalled back to their duties (BPSR, 2008).

The function of office professionals in organizations have formed part of the cardinal roles stated in available literatures. In consonance with the views expressed above. Omotosho (1990) states that no business activity succeeds without an efficient office professional. The office professional copes with all demands and stresses of the office in the way that he enjoys leadership control of crisis that might emanate from managing records, people communication, information and other resources that are instinctively involved in making an office.

In most office today, two types of office professionals are recognized and these are the personal or private and confidential. For the purpose of updating the duties and responsibilities of office professionals, MTU in Madelyn and Urwin (1980( defined office professionals as one in charge of typesetting, recording and keeping vital or confidential document of an organization that some executives may not be allowed access to; while the private office professional is one who employed to assist a member of staff at top level by undertaking some of his routine work and ensuring the smooth running of the office.

Ceik and forti (2009) state that the duties of office professional in organization includes organizing, coordinating and implementing delicious for the day to day running of the organization. Azuonge (2007) says executives in most organization are ignorant of the vital roles performed by office professional for the growth of an organization as such these class of worker are seen with little or no respect as clerks  and mail runners by this officers. To achieve any set objective by an organization in a work place, it require the complete efforts of a team work. The office professional being part of this team plays an important and essential function in bringing about the desired success in every organization, irrespective of services it renders to the general public. Jeffrey and Kevin, (2001) state that in this age of globalization, characterized by computer and other office technology, as well as sophisticated nature of office dealings, the duties and function of office professionals in achieving organizational goals cannot be over emphasized.

Njoku (2003) opines that the duties of office professionals vary and are often unspecified. However, the duties and function of office professionals and the expectations of an employer. These duties include taking down notes from the speech of the boss and producing a mail able copy out of it, performing reception duties involving public relations, clerical duties involving replying to correspondence, filling operations, records management, other unspecified function such as booking flights and accommodation, running specialized errands etc.

He adds that the functions of the office professionals are ever expanding rapidly. However, the proper performance of duties by office professional is a reliable avenue for the image making profiles such office professional work with. It is with this in mind that the research work is being carried out to identify the duties and responsibilities of office professionals in Kaduna polytechnic.

 

Statement of the Problem

The work environment is a determining factor to office professionals performance and productivity but this has not been achieved in modern day office as a result of the following problems such as inadequate of modern office equipments, poor human relations, physical environmental factors and poor remuneration of office professionals, all these factors contribute to low performance of office professionals. It is not uncommon to find some organizations still subjecting office professional to the use of manual typewriters. When office professional are not provided with efficient and effective working tools, productivity is definitely bound to be low.

It is equally agreed that some office professionals find it difficult to get along with their work as a result of un-conducive environment in the office. this brings about other tendencies among with include the inability to control staff under her or not giving proper attention to visitors in the office     .Overcrowding and of clean office or environment especially in the office professional’s office seriously have impacts in the productivity of the office professional

 

 

Purpose of the Study

The major purpose of this study was to examine the impact of work environment on the productivity of office professional. But in specific terms, the study was under taken to:

  1. find out the types of modern office machines require for office professionals productivity.
  2. determine the physical environmental factors that lead to the attainment of the organizational objectives
  3. to find out how adequate remuneration of office professional improve office productivity in an organization.
  4. to find out how human relation skills increase office professional productivity.

 

Research Questions

The following research questions and hypotheses were posed and formulated for the study:

  1.                                i.            What are the types of office equipment require for office professionals productivity
  2.                              ii.            What are the physical environmental factors that lead to the attainment of organizational objectives
  3.                           iii.            How does human relations skills influence office professional productivity in an organization
  4.                           iv.            How does remuneration influence office professional productivity in an organization.

 

Significance of the Study

The significance of this research can never be over emphasized. It is only conducted to identify, the importance of work environment on a office professions, the study will be of immense importance for the following:

Office Profession: Office professional as an individual who oversees the running of an organization, plan coordinate and oversees various organizational function which are performed by the other employee of the company.

 

Future References: To service as a source of information for future researchers who which to gather useful data pertaining to office profession.

Organizations: To educate the organizations so that they can provide conducive environment to secretaries work.

 

Scope of the Study

The study concentrated on the internal segments of the office profession in order to determine the level of influence it on the performance of the office profession. The scope of this study also cover executives and office profession.

 

Limitation of the Study

The researcher intended to provide as much material as possible with respect to the topic under study, but a lot of limitation prevented him from doing so. Time proved to be a major limitation in the conduct of this research topic. The problem was the combining of attendance of lecturers and sourcing for data to writ the project.

Financial constraints also posed a problem in the data collection during the course of survey research, as the research did not have enough money to make calls on the respondents for data/

The function of office professionals in organizations have formed part of the cardinal roles stated in available literatures. In consonance with the views expressed above. Omotosho (1990) states that no business activity succeeds without an efficient office professional. The office professional copes with all demands and stresses of the office in the way that he enjoys leadership control of crisis that might emanate from managing records, people communication, information and other resources that are instinctively involved in making an office.

In most office today, two types of office professionals are recognized and these are the personal or private and confidential. For the purpose of updating the duties and responsibilities of office professionals, MTU in Madelyn and Urwin (1980( defined office professionals as one in charge of typesetting, recording and keeping vital or confidential document of an organization that some executives may not be allowed access to; while the private office professional is one who employed to assist a member of staff at top level by undertaking some of his routine work and ensuring the smooth running of the office.

Ceik and forti (2009) state that the duties of office professional in organization includes organizing, coordinating and implementing delicious for the day to day running of the organization. Azuonge (2007) says executives in most organization are ignorant of the vital roles performed by office professional for the growth of an organization as such these class of worker are seen with little or no respect as clerks  and mail runners by this officers. Jeffrey and Kevin, (2001) state that in this age of globalization, characterized by computer and other office technology, as well as sophisticated nature of office dealings, the duties and function of office professionals in achieving organizational goals cannot be over emphasized.

Njoku (2003) opines that the duties of office professionals vary and are often unspecified. However, the duties and function of office professionals and the expectations of an employer. These duties include taking down notes from the speech of the boss and producing a mail able copy out of it, performing reception duties involving public relations, clerical duties involving replying to correspondence, filling operations, records management, other unspecified function such as booking flights and accommodation, running specialized errands etc.

He adds that the functions of the office professionals are ever expanding rapidly. However, the proper performance of duties by office professional is a reliable avenue for the image making profiles such office professional work with. It is with this in mind that the research work is being carried out to identify the duties and responsibilities of office professionals in Kaduna polytechnic.

 

Statement of the Problem

The work environment is a determining factor to office professionals performance and productivity but this has not been achieved in modern day office as a result of the following problems such as inadequate of modern office equipments, poor human relations, physical environmental factors and poor remuneration of office professionals, all these factors contribute to low performance of office professionals. It is not uncommon to find some organizations still subjecting office professional to the use of manual typewriters. When office professional are not provided with efficient and effective working tools, productivity is definitely bound to be low.

It is equally agreed that some office professionals find it difficult to get along with their work as a result of un-conducive environment in the office. this brings about other tendencies among with include the inability to control staff under her or not giving proper attention to visitors in the office     .Overcrowding and of clean office or environment especially in the office professional’s office seriously have impacts in the productivity of the office professional

 

 

Purpose of the Study

The major purpose of this study was to examine the impact of work environment on the productivity of office professional. But in specific terms, the study was under taken to:

  1. find out the types of modern office machines require for office professionals productivity.
  2. determine the physical environmental factors that lead to the attainment of the organizational objectives
  3. to find out how adequate remuneration of office professional improve office productivity in an organization.
  4. to find out how human relation skills increase office professional productivity.

 

Research Questions

The following research questions and hypotheses were posed and formulated for the study:

  1.                                i.            What are the types of office equipment require for office professionals productivity
  2.                              ii.            What are the physical environmental factors that lead to the attainment of organizational objectives
  3.                           iii.            How does human relations skills influence office professional productivity in an organization
  4.                           iv.            How does remuneration influence office professional productivity in an organization.

 

Significance of the Study

The significance of this research can never be over emphasized. It is only conducted to identify, the importance of work environment on a office professions, the study will be of immense importance for the following:

Office Profession: Office professional as an individual who oversees the running of an organization, plan coordinate and oversees various organizational function which are performed by the other employee of the company.

 

Future References: To service as a source of information for future researchers who which to gather useful data pertaining to office profession.

Organizations: To educate the organizations so that they can provide conducive environment to secretaries work.

 

Scope of the Study

The study concentrated on the internal segments of the office profession in order to determine the level of influence it on the performance of the office profession. The scope of this study also cover executives and office profession.

 

Limitation of the Study

The researcher intended to provide as much material as possible with respect to the topic under study, but a lot of limitation prevented him from doing so. Time proved to be a major limitation in the conduct of this research topic. The problem was the combining of attendance of lecturers and sourcing for data to writ the project.

Financial constraints also posed a problem in the data collection during the course of survey research, as the research did not have enough money to make calls on the respondents for data/

CHAPTER ONE

INTRODUCTION

 

Background of the Study

Contemporary dictionary defines environment as all the surrounding condition, which influence growth and development. Environment can also be defined as the external and internal surrounding of an office as it affects a secretary. According to Rwuaan (2010), an office is a building where clerical work is done, where information is received, conveyed, recorded processed and safeguard. An office is generally a room or other area in which people work, but may also denote a position within an organization with specific duties attached to it (see office, office holder, official), the latter is an fact an earlier usage, office as place originally referring to the location of one’s duty.

An office is an architectural and design phenomenon and a social phenomenon, whether it is a small office such as a bench in the corner of a “mom and pop shop” of extremely small size (see small office home office) through entire floors of buildings up to and including massive building dedicated entirely to one company. In modern terms an office usually refers to the location where white-collar workers are employed.

Productivity has been generally defined as a ration of a measure of output to a measure of some or all of the resources used to produces these output. In this way, one or a number of input measures can be taken and compared with one or a number of output measure. When attempt is made to include all inputs and all output in a system, the measure is called a Total Productivity Measure (TPM) Palik (2006) explains in his what that the input used in a process can be hour of labour, unit of capital and qualities of raw materials compared with the consequent output.

History has it that the background of office professional dates back to the days when ancient office professionals who were then called secretaries worked under the primitive circle of office surroundings. Despite the fact that the importance of the early office professionals was realized when the need for keeping, retrieving and safeguarding confidential matters were needed. At that time, the duties and responsibilities of office professionals was of much importance in terms of job satisfaction the office profession. The function of office professionals in organizations have formed part of the cardinal roles stated in available literatures. In consonance with the views expressed above. Omotosho (1990) states that no business activity succeeds without an efficient office professional. The office professional copes with all demands and stresses of the office in the way that he enjoys leadership control of crisis that might emanate from managing records, people communication, information and other resources that are instinctively involved in making an office.

In most office today, two types of office professionals are recognized and these are the personal or private and confidential. For the purpose of updating the duties and responsibilities of office professionals, MTU in Madelyn and Urwin (1980( defined office professionals as one in charge of typesetting, recording and keeping vital or confidential document of an organization that some executives may not be allowed access to; while the private office professional is one who employed to assist a member of staff at top level by undertaking some of his routine work and ensuring the smooth running of the office.

Ceik and forti (2009) state that the duties of office professional in organization includes organizing, coordinating and implementing delicious for the day to day running of the organization. Azuonge (2007) says executives in most organization are ignorant of the vital roles performed by office professional for the growth of an organization as such these class of worker are seen with little or no respect as clerks  and mail runners by this officers. To achieve any set objective by an organization in a work place, it require the complete efforts of a team work. The office professional being part of this team plays an important and essential function in bringing about the desired success in every organization, irrespective of services it renders to the general public. Jeffrey and Kevin, (2001) state that in this age of globalization, characterized by computer and other office technology, as well as sophisticated nature of office dealings, the duties and function of office professionals in achieving organizational goals cannot be over emphasized.

Njoku (2003) opines that the duties of office professionals vary and are often unspecified. However, the duties and function of office professionals and the expectations of an employer. These duties include taking down notes from the speech of the boss and producing a mail able copy out of it, performing reception duties involving public relations, clerical duties involving replying to correspondence, filling operations, records management, other unspecified function such as booking flights and accommodation, running specialized errands etc.

He adds that the functions of the office professionals are ever expanding rapidly. However, the proper performance of duties by office professional is a reliable avenue for the image making profiles such office professional work with. It is with this in mind that the research work is being carried out to identify the duties and responsibilities of office professionals in Kaduna polytechnic.

 

Statement of the Problem

The work environment is a determining factor to office professionals performance and productivity but this has not been achieved in modern day office as a result of the following problems such as inadequate of modern office equipments, poor human relations, physical environmental factors and poor remuneration of office professionals, all these factors contribute to low performance of office professionals. It is not uncommon to find some organizations still subjecting office professional to the use of manual typewriters. When office professional are not provided with efficient and effective working tools, productivity is definitely bound to be low.

It is equally agreed that some office professionals find it difficult to get along with their work as a result of un-conducive environment in the office. this brings about other tendencies among with include the inability to control staff under her or not giving proper attention to visitors in the office     .Overcrowding and of clean office or environment especially in the office professional’s office seriously have impacts in the productivity of the office professional

 

 

Purpose of the Study

The major purpose of this study was to examine the impact of work environment on the productivity of office professional. But in specific terms, the study was under taken to:

  1. find out the types of modern office machines require for office professionals productivity.
  2. determine the physical environmental factors that lead to the attainment of the organizational objectives
  3. to find out how adequate remuneration of office professional improve office productivity in an organization.
  4. to find out how human relation skills increase office professional productivity.

 

Research Questions

The following research questions and hypotheses were posed and formulated for the study:

  1.                                i.            What are the types of office equipment require for office professionals productivity
  2.                              ii.            What are the physical environmental factors that lead to the attainment of organizational objectives
  3.                           iii.            How does human relations skills influence office professional productivity in an organization
  4.                           iv.            How does remuneration influence office professional productivity in an organization.

 

Significance of the Study

The significance of this research can never be over emphasized. It is only conducted to identify, the importance of work environment on a office professions, the study will be of immense importance for the following:

Office Profession: Office professional as an individual who oversees the running of an organization, plan coordinate and oversees various organizational function which are performed by the other employee of the company.

 

Future References: To service as a source of information for future researchers who which to gather useful data pertaining to office profession.

Organizations: To educate the organizations so that they can provide conducive environment to secretaries work.

 

Scope of the Study

The study concentrated on the internal segments of the office profession in order to determine the level of influence it on the performance of the office profession. The scope of this study also cover executives and office profession.

 

Limitation of the Study

The researcher intended to provide as much material as possible with respect to the topic under study, but a lot of limitation prevented him from doing so. Time proved to be a major limitation in the conduct of this research topic. The problem was the combining of attendance of lecturers and sourcing for data to writ the project.

Financial constraints also posed a problem in the data collection during the course of survey research, as the research did not have enough money to make calls on the respondents for data/

Impact: Change produced by an action or cause, it may be negative or positive

Office: Literally speaking an office is any given place where information is received, sorted, recorded, rearranged, retrieved and kept for future reference.

 

Environment: This relates to the physical condition in the working place of the secretary.

 

Organization: Organization is the rational co-ordination of the activities of a number of people for achievement of some common explicit purpose or goal, through division of labour.

Secretary: A secretary is defined as a keeper of secrets or any persons employed by another person, society, enterprise, organization or co-operation  for the purpose of conducting correspondence, keeping business records and transacting other business.
